FleetAdmin - Asset - RA Builder

Risk Assessments are added to individual Assets.  These are automatically linked to QR Codes giving public access to the document.  Users can sign on via Asset Documents on The Fleet Office App, or during Prestarts ensuring that each User has signed on to the current Risk Assessment before use.

Exisiting Risk Assessments can be added to an Asset, or you can use the Risk Assessment Builder to create.

Using the Risk Assessment Builder

  • From FleetAdmin go to Assets
  • Select the Asset you would like to add the Risk Assessment to
  • Click on the Risk Assessment tab

The Fleet Office have teamed up with HSET solutions, who are a Heath and Safety company that assist with setting processes to ensure compliance across the construction industry.  The Risk Assessment Builder allows you to build each Risk Assessment specific to each Asset or Asset Type.

Section 1 - Details

  • Click on the Risk Assessment Builder Tab
  • The first page will bring in the information from Asset Details
  • An individual report/document number will be auto generated
  • Select from the drop down the Assessment Purpose
  • Select from the drop down the required State
  • Notes may be added
  • Confirm Section 1

Section 2 - Risks & Controls

HSET solutions are a Heath and Safety company that assist with setting processes to ensure compliance across the construction industry.

In Section 2 you will need to choose which template to use:

Preload Asset Type Pre-Selected Defaults - This option will give you pre populated Risks & Controls for that Asset type.  You can remove, edit & add your own controls and hazards to this list as needed.

Preload Your Company Pre-Selected Default - This option will appear if you change any of the Asset Type Pre-Selected Defaults - Making it a company exclusive Risk Assessment

Preload GENERIC Pre-Selected Defaults - Will list generic controls that can be applied across multiple asset types. You can add your own controls and hazards to this list as needed.

No Defaults - This will allow you to use an existing hazard list and build your own controls based on this list.

Please Note: Pre populated settings are provided for your convenience and are not intended to replace your responsibility to identify, assess and control risks as applicable to your workplace.

  • Review each section
  • When complete, confirm Section 2

Section 3 - Referencing Acts/ Regulations/ Codes of Practice, Confirmation 

  • Click on Show drop down

  • Select Acts/ Codes / Regulations you would like to reference in Risk Assessment
  • Click on +Enter New to add additional references

Section 3 - Sign Off

  • Scroll to bottom of page
  • Click on - I agree 
  • Sign Risk Assessment
  • Click on Confirm Section 3

Build Document

You can build your Risk Assessment. This will put the document together in a printable and presentable format.

  • Click on Build Risk Assessment

Once built, you can review, edit, approve or discard document. Once approved, it is listed against the Asset.  It will autogenerate a 12 month Notification to review the document.

Risk Assessment tab will now list all Risk Assessments for Asset with the current highlighted green.

Email Documentation - The Risk Assessment can be emailed to interested parties from this page.

Operator Sign On - All Users signed onto the current Risk Assessment are listed on the page, this list can be exported to CSV for the individual asset & for all assets.

Clicking on Risk Assessment Admin - View All - Will provide a fleet wide overview of all Risk Assessments & the date they were created.

The current Risk Assessment will be shown when the QR code attached the the machine is scanned for when machines are audited. The assessment and signatures will be viewable.

If an Asset has a previously built Risk Assessment a button will appear offering the user the choice of pre-loading the answers/controls/etc from the last built RA (in addition to the other defaults available)
