TFO App - Hire - On / Off Hire Reports

Read this article how to complete an On or Off Hire condition report via the TFO App.

On/Off Hire Condition reports can be created for each Asset Type. See article for how.

The Fleet Office App supports Android devices 7.1 and above.  Apple device IOS 9.0 and above. Any phone or tablet operating systems below these can not supported by our software

Go to the Hire Tile in App

  • Go to TFO App
  • Tap on the Hire tile

Complete an On Hire Report

  • Tap on +New On Hire

Step 1 - Select an Asset

  • Tap on Asset Type to filter
  • Type ahead or scroll to find

Hint: Tap on the Asset Type or Asset box to remove your keyboard to see the full screen

        Tap on the arrow button to expand or remove list

  • Type Ahead or scroll to find Asset

Step 2 - Select a Contract

  • Chose contract number from list or select No Contract if applicable

Step 3 - Complete Hire Checklist

Step 4 - Upload Photos

  • Tap on images
  • It is possible to load 3 images to each checklist item

Step 5 - Report Issue

  • Tap on Issue 
  • Add in detail

Step 6 - Complete On Hire Report

  • Tap on Continue once all checklist items are completed

  • Sign & collect Receivers Signature if relevant

Save Hire Report Progress

If you make any changes to a Hire Report and close the App without saving/submitting, the changes are saved to the mobile device

To resume progress on a draft On hire Checklist press the View/Edit button on the Hire Home screen

To resume progress on a Submitted Hire record, select the record and then the on-hire or off-hire checklist

List of Condition Reports

Once you click on the Hire tile, a list of Condition Reports displays. 

At the top are un-submitted Condition Report drafts. Then hire records without off-hire. Then hire-records with off-hire (with most recent off-hires appearing on top).

Off Hire Condition Report

  • Click Select on Condition Report

  • Click Begin under Off Hire and follow the steps as per above On Hire Report 
 

Save Condition Report Progress

If you make any changes to a hire record, and then close the checklist without saving/submitting, the changes are saved to the mobile to be resumed later.

To resume progress on an un-submitted on hire checklist press the select button from Hire home.

To resume progress on a submitted hire record, select the record and then the on-hire or off-hire checklist

Editing Submitted Hire Record Images

Hire Records can now have their images added or removed after the are submitted.

After submitting an on/off hire checklist, open to change the images

  • The entered information for submitted on/off hire checklists cannot be edited
  • After adding/removing images, they will not be saved until pressing the “Save” button
  • The changes will be saved to the mobile to be resumed (or discarded) later
  • Updating images on a submitted checklist does not require signatures

Notes

  • When Issue or N/A is selected, a comment field appears.
    If N/A is selected, a comment is no longer required.
  • A maximum of 3 images per item 
  • Select multiple images at once 

Offline Support

Condition reports can be submit/save hire records while not in mobile service area. The hire record will show as “submitting” in the list and cannot be edited.

When the mobile phone comes online, it will be submitted/saved and can be edited again.
