Dockets - Email Directly from TFO App

Users have the ability to Email Dockets directly from the TFO App.  Please see below for an explanation on how to create & change your Docket Forms to enable this feature. 

Use Docket Settings to choose if Dockets are emailed automatically when submitted or give Users the ability to email through the TFP App.  Select required email & PDF templates.

There are four options to choose from. You have the ability to use one, or all of these options in each Docket Form.

User Enters Email Address Directly into Docket

Use this option if a Docket is required to go to a different email address each time.  Docket Admins will get an error message if an email address is incorrect and does not send successfully.

  • See article on how to create Forms

  • Add Line Item
  • Make Type Text Input
  • Label the Line Item
  • Help Text - Give your User the instruction to add in Email
  • Click on Show Additional Settings  Screen Shot 2023-10-11 at 09.44.57.png, this will open up options as above
  • Role: Choose Email from the dropdown option
  • Leave the Autofill Values blank
Hint: If you have more than one email address to send the Docket.  Copy this line item to give Users another email address option.

Users Select an Email Address from Options created within the form

Use this option where email addresses are predefined for a Docket. The User will select an email address created from lists within the Form. The Custom Form Option can have one email option or as many as you require.

  • Add Line Item
  • Make Type Multiple Choice
  • Label the Line Item
  • Help Text - Give your User the instruction to select Email from list
  • Click on Show Additional Settings  Screen Shot 2023-10-11 at 09.44.57.png, this will open up options as above
  • Data Source - Select the created Email Custom List 
  • Role: Choose Email from the dropdown option
Hint: If the Docket needs to be sent to more than one email address in the Custom List. Copy this line item to give Users option to choose another email from the list.

Email Address is linked to the Project

Use this option if the Docket email address will always be linked to the Project.

Please Note: Only one email address can be populated per Project.

  • Label the Line Item
  • Help Text - Give your User the instruction to select Project from list

  • Data Source: Select Projects from the List 
  • Dropdown Filter: Leave blank
  • Role: Choose Email from the dropdown option

Dockets - Settings

Set required Actions for each Form.  Set email & PDF templates.  Set each Docket form action & set emails directly from this page.
  • Go to Dockets
  • Settings

This will list out all of your Docket Forms, use the search bar to filter.

Action

Set the email action for each Docket.

No Action Emails will not be sent from the system
Auto Email When a User submits a Docket, it will be automatically emailed.
Operator Email After a Docket is submitted Operators will be able to email from their mobile device.

Automatic - Form fields with the Role Email will be used to find email addresses

Email Template Choose Email Template to be used in email
PDF Template

Choose the PDF Template to be used in email

Add Additional Files to be included in Email as attachments

Copy Forms - Copy & make changes to Dockets forms, allowing you to have multiple Dockets with different email options
